The  Document Controller will manage the project documentation based on the  Document Management Plan, and in line with the project requirements and the document management policies. The Document Controller will ensure the knowledge and implementation among the team and suppliers, of the plan and project and company requirements in regards to document management to ensure a consistency of the documentation and content expectations.

The Document Controller will oversee, maintain and supervise the documents of the project based on the schedule, quality control, and the contract with the client and subcontractors, in order to ensure that the information of the project is controlled, is delivered to the necessary persons, and is prepared on time.

The Document Controller will be proficient in maintaining the database/ Teambinder and creating the correct flow for the documentation of the project. Reporting directly to the Project Director and Contract Manager the Document Controller will also prepare reports in a time basis showing the documentation status in terms of versions, approvals, and schedule.

This role will also assist with administrative tasks from time to time as directed from their managers.

Key Responsibilities:

Provide support to project managers and project teams in their Document Management needs.
Maintain an accurate and up-to-date internal Document Management system.
Checking, validating and verifying all documentation, including correct numbering, revisions, status, format, title and legibility.
Maintenance of electronic files and document registers.
Ensure timely processing and return of documentation.
Processing and recording incoming and outgoing vendor data and engineering design drawings.
Responsible for the record document flow to and from all necessary parties.
Issue and track location of all documents and drawings.
Issue transmittal letters and receipts and coordinate storage of project documentation
Maintain records of non-deliverable project data.
Performing Document Management activities to ensure all Project requirements are met.
Complete weekly reports for the project managers and assist with progress reports.
Liaise with internal and external sub consultants.
Train the project teams on Document Management systems and/or project specific systems and procedures.
Contribute towards the delivery of projects to the agreed outcomes, industry and quality standards.


Proven work experience as a Document Controller in a large construction project is a must.
Proven experience in Teambinder is a must.
Previous Rail Project experience is an advantage.
Knowledge of current document control standards.
Experience with office management software like MS Office (MS Excel and MS Word, specifically)
Strong organization skills with a problem-solving attitude.
Excellent written and verbal communication skills.
Proven history contributing to a team effort in project environments.
Ability to prioritize, multi-task and manage own workload.
Tenacious and hardworking attitude.
