Position: Part-Time Administration Assistant

Location:

  • Bathurst, NSW, Australia

Working Hours:

  • Monday to Friday, 9 AM to 1 PM (20 hours per week) negotiable on working hours.

Role Overview:

We are seeking a dynamic and versatile Administration Assistant living in the Bathurst LGA to play an integral role in our business operations. As the cornerstone of the business, this role is ideal for someone skilled in diverse administrative tasks. As the primary liaison for clients, consultants, stakeholders , trades and suppliers, the role encompasses a range of responsibilities from traditional administrative duties to supporting various key functions of our construction business

Key Responsibilities:

  • Client and Trade Liaison: Serve as the first point of contact, ensuring effective communication and coordination.
  • Communication Management: Handle phone calls and emails professionally and manage communication channels.
  • Compliance and Prequalification Assistance: Assist in trade prequalification and compliance processes, including support for health and safety, quality and environmental documentation.
  • Documentation Management: Update and digitally file documentation related to projects, maintenance, WHS and quality systems.
  • Financial Administration: Oversee some financial tasks and maintain confidentiality of financial data. Assist with payments to regular suppliers and services.
  • Project and Maintenance Coordination: Coordinate basic project and maintenance activities, schedule deliveries, and maintenance completions.
  • Support in Procurement Processes: Assist in tendering and procurement activities, including liaising with clients, consultants and suppliers, and learning and administering online systems. Preparation of simple quotations, and purchase of some trade, materials and other supply.
  • Errand Running and Logistics: Manage basic deliveries and logistics, including occasional errands.
  • Systems and Process Development: Help integrate new systems and develop processes for business activities, contributing to project planning and management efficiency.
  • Basic Marketing Support: Assist in preparing marketing materials and maintaining online presence, as needed.
  • Site Team Assistance: Provide administrative support for teams on-site and remotely, and clients and consultants requesting information.
  • Executive Assistance: Provide direct administrative support to a Company Director, managing schedules, coordinating meetings, and managing confidential information.

Additional Requirements:

  • Live in Bathurst LGA
  • NSW Driver’s License: Essential for errands and logistics management.
  • National Police Check: Required for client pre-qualifications.
  • Pre-Employment Medical Check: To be completed prior to recruitment.
  • Pre-Employment Psychometrics

Non-Essential Criteria:

  • Experience in Building or Property Maintenance: Some understanding of building and maintenance is beneficial for communication, operations and coordination.

Salary and Allowances:

  • Hourly Rate: Suggested rate is AUD $25 to $30, depending on qualifications and experience.
  • Australian Allowances: Includes Superannuation, Leave Entitlements, and Workers’ Compensation Insurance.

Job Type: Part-time

Salary: $26,000.00 – $32,000.00 per year

Expected hours: 20 per week
