The Administration Assistant is a Level 4 position who supports the Diverse Needs team with administrative acumen. Additionally the Administration Assistant communicates effectively for all stakeholders, uses discretion and judgement to plan and organise their work and the work of others, is able to problem solve and displays expertise to making decisions.

Key Accountabilities

Actively promote the Vision and Mission of Catholic education in the Diocese by:

  • Supporting the Catholic ethos, mission, vision and values of the school and helpful in advancing the mission of Xavier High School.
  • Modelling the values inherent in Christ’s teaching, with particular emphasis on the dignity of the individual
  • Supporting and building collaboration and stewardship with all key stakeholder

Administration

The Diverse Needs Administrative Services Officer – Level 4 will work with the Diverse Needs team, and will be responsible for the following administration tasks:

  • Providing Administrative support for the Diverse Needs Leader including but not limited to- scheduling, calendarisation, managing communication including emails and phone calls, Impeccable data entry and record keeping
  • Accurately maintaining the school Database and the NCCD system with relevant up to date information for Diverse Learning Students
  • Monitor and maintain Student plans and information to ensure that staff are informed of support measures for students with Diverse requirements.
  • Support and advise staff on SWANS projects and ensure curriculum needs are met
  • Develop and communicate the Diverse Needs timetable and provide a roster for Learning Support Officers to accommodate student and staff needs.
  • Assist teaching and support staff with diverse learning matters.
  • Managing and promoting attendance for Diverse needs students.
  • Triaging students who require Diverse Needs supports such as calm room access, and appointments with specialists/external support.
  • Manage WWCC compliance for all external visitors to the school.
  • Ensure effective and timely communication with consideration to the sensitive and confidential nature of student and family data.

Selection Criteria – To be Successful

  • Highly skilled and effective in all areas of communication
  • Experience in providing administrative support in a team environment inclusive of scheduling, records maintenance and data entry
  • Understanding of confidentiality, privacy and dignity of all involved
  • Ability to use technology in a variety of formats
  • Ability to manage multiple Databases
  • Passion, willingness or experience in working with students and families who have Diverse Learning requirements
  • Understanding of the requirements for the National Consistent Collection of Data
  • Extremely professional in manner and appearance
  • Certificate III in Business Administration or equivalent experience in administration work.
  • Current drivers licence
  • A current Working With Children Check is required as a pre-condition of employment

Conditions Of Employment

  • Salary as per NSW and ACT Catholic Systemic Schools Enterprise Agreement 2023
  • Non-averaged appointment (works in school breaks)
  • This position will be required to attend to additional duties as required by the Principal, Business Manager or nominated delegate.
  • The Principal, Business Manager or delegate may assign other duties from time to time which are broadly consistent with the role, or vary the Position Description after appropriate consultation in response to the changing needs of the School.
